How Coaches can set up a new coaching session by selecting a subject, setting session's date and time, and sending the invitation to a Coachee.
All customer experience roles will have to undergo coaching as part of the job. When it is your turn to coach an individual, you have to first send out an invite.
1. Sign in to FLASH Coach with your username and password. Upon successful login, you will land on the Dashboard. If you happen to forget your password, we’ll get you back on track in no time.
2. You will be prompted to enter the six-digit code generated by your Google or Microsoft Authenticator mobile app. Enter the code and click 'Verify'.

3. Upon signing in, you will land on the 'Sessions' page.
4. Select 'Team' as you will be creating a coaching session for a team member and select the 'CREATE SESSION' button.
5. In the create session page, click on 'Functional Unit' and select the unit associated with your campaign from the drop-down list.
6. By default, you will be the Coach. While you may notice an option to assign this session to another coach, which would be followed with a drop-down list of available Coaches.
7. Select the 'Coachee' from the drop-down list that has been auto-populated based on either:
(i) Coachees associated with your campaign, assigned to you in FLASH Home.
(ii) Coachees manually assigned to you in FLASH Coach by the Functional Unit Manager (FUM) or Coordinator.
⭐ If there are new members to your team, their names should appear in the list of Coachees within 24 hours after being registered in FLASH Home. Should you not see their names after the time frame, reach out to your Functional Unit Manager or Coordinator for assistance.
8. You can quickly check all the past subjects taken by your Coachees and their outcomes by selecting 'VIEW COACHEES STATES' to display the logs.
9. Surely you’ll need a date and time for a session to happen. Click anywhere on the date and time columns to reveal the calendar and clock. Select the best-fit date and time from the respective pop-ups, and don’t forget to check if the time is in AM or PM.
10. One of the best things about FLASH Coach is the flexibility of 'Method', allowing you to run the session online or on-site.
11. Next, determine the 'Framework' of the session between PDCA (Plan. Do. Check. Act) for Performance-based sessions, and PD (Plan. Do) for Behavior & Conduct-related sessions.

12. Set a review date. By default, FLASH Coach sets two (2) days as the minimum number of days to hold a review after one-on-one coaching. However, some subjects may require a longer time so you can set a later review date.
13. Choose the 'Type of sessions' you want to conduct, whether related to performance or behavior and conduct and click 'Add Subjects'.
The list of applicable subjects to session type will appear in the drop-down menu. Select a subject and input the metrics required.
If you want your Coachee to know the scoring criteria and performance metrics for the subject, you can direct them to the data by adding a link. Click 'Insert links' to add the link, and 'Save' it.
14. If you think your Coachee can manage more than one subject in a single coaching session, you can do so. Click 'Add Subjects' and repeat the steps. You can select up to five (5) subjects from the list and if you added a wrong subject, simply hit the bin icon and start over.
15. It helps your Coachee to have some context before the session, so go ahead and add some 'Session notes'. This is optional, so here’s a quick how-to if you wish to use it. Meanwhile, this article helps you learn more about the types of session notes and how to best use them.
16. One more step! As soon as you hit the create and send button, the Coachee will receive a notification to accept the invitation.
After creating and sending an invitation, you will be redirected to a new page with the 'Session details'.
17. You’ll also find the newly created session in your 'Sessions' list with the 'Pending Confirmation' status, indicating that it is your Coachee’s task to accept the invitation.
However, if you’ve chosen the Conversational model, the status will move straight to ‘Scheduled’ instead, as no action will need to be taken by your Coachee prior to your session. Your Coachee will be able to choose to start the coaching Session as scheduled.
That’s it! You have created and invited a Coachee to a session. Now you will just need to wait for your Coachee to take the necessary action.
